wagamama soul club terms and conditions

these terms and conditions (together with our privacy policy govern the relationship between wagamama limited, a company incorporated in England and Wales with company number 02605751 whose registered office is at 5-7 Marshalsea Road, London SE1 1EP ("we", "us", "our") and you in respect of your membership of wagamama soul club. by creating a wagamama soul club account, you confirm that you have read and agree to these terms and conditions. you must therefore read these terms and conditions carefully. please print a copy of these terms and conditions for your records. if there is anything you do not understand, you can find more information in our FAQs

what is wagamama soul club and can I join?


wagamama soul club is a digital membership programme designed to reward, engage, surprise and delight wagamama soul club members by earning stamps to earn rewards (as described below). to be a wagamama soul club member you must be over the age of 18 and a resident of either England, Scotland or Wales. wagamama soul club is not available in Northern Ireland or any other international locations outside of England, Scotland and Wales, and so wagamama soul club rewards cannot be earned or redeemed in these locations

how do I take part?


to join wagamama soul club and become a wagamama soul club member (“member”) you must download the wagamama soul club app on either iOS or android and create a wagamama soul club account

we recommend that you use the same email address for click + collect and wagamama soul club so that you can earn stamps on all of your eligible transactions (see below)

each wagamama soul club account can have a maximum of one member only

how do I earn a stamp?


a "stamp" is an icon shown on your stamp book in the wagamama soul club app and you can earn stamps on each eligible transaction you make to earn rewards (as described in section 4)

an “eligible transaction” is when you spend £12 or more in a single payment (excluding tips) ("minimum spend") which MUST be made using either

the wagamama soul club app; or

a valid click + collect order made and paid for online using an email address registered with your wagamama soul club account

(please note that if you pay by cash, pay using credit or debit card in the restaurant, pay using our pay on phone web application or pay via Deliveroo, this will NOT be an eligible transaction)

AND

where payment of the full order is settled (for example, if you are dining in a wagamama restaurant and you split the bill between friends, the whole bill for the table must be settled between you)

if you have redeemed any rewards or offers (for example, staff discounts or claiming free products such as via noodle union, competitions or prize draws) as part of a purchase, the value of such rewards or offers will not count towards the minimum spend for an eligible transaction

you will not be able to retrospectively earn stamps on earlier transactions (for example, if you pay in cash and later want to claim a stamp for that transaction, you will not be able to do so)

with the exception of the bonus stamp earned by each member on sign-up to wagamama soul club (as described in section 4 below) which may be earned in conjunction with earning a stamp for an eligible transaction made on the day of sign-up, a member will only be able to earn a maximum of one stamp per day

multiple members can earn a stamp when dining together in a wagamama restaurant, provided that each member has a valid wagamama soul club account and makes an eligible transaction. However, when making a click + collect order online, multiple members will not be able to earn stamps on a single click + collect order and only the member that makes the purchase (linked to their wagamama soul club account) will be able to earn a stamp for that order

stamps will be applied to your account no later than 48 hours from the time the eligible transaction is made. we do not accept any liability for delays to stamps being allocated to your account. please contact us here if you have any questions about the allocation of stamps to your account

rewards


as a member you will be eligible to earn "rewards" by making eligible transactions and earning stamps:

sign-up reward

when you create a new, unique, valid account and become a wagamama soul club member ("sign-up") you will automatically earn a stamp, plus a reward that you can redeem for an edamame dish as part of any eligible transaction you make after your first eligible transaction

shareables reward

when you have earned your third stamp, you will receive a "shareables reward" (labelled a ‘side voucher’) in your account to redeem against selected shareables (excludes koko prawn crackers, miso soup and rainbow pickles) when you complete a subsequent eligible transaction. when you opt to redeem a shareables reward, the shareables reward will be redeemed against the cheapest eligible shareable on your bill.

you must spend a minimum of £12 on other items in order to redeem a shareables reward

main dish reward

when you have earned your sixth stamp you will receive a "main dish reward" in your account to redeem against selected main dishes when you complete a subsequent eligible transaction. when you opt to redeem a main dish reward, the main dish reward will be redeemed against the cheapest main dish on your bill

stamp collection cycle

each time you reach six stamps and complete a stamp book in the wagamama soul club app, the stamp cycle will renew. this means that your completed stamp book will clear, and the next stamp you collect will be the first stamp on a new stamp book, which will count towards earning your next shareables reward (i.e. the seventh stamp you earn will be counted as the first stamp in your new stamp book)

additional rewards

you may be able to earn other "additional rewards" as a wagamama soul club member:

birthday reward: on sign-up to wagamama soul club, we will ask you to provide us with your date of birth. as a member, you will be able to enter into a prize draw during your birthday month for the chance to win an e-giftcard worth one thousand pounds (£1,000)

level rewards: for each level you reach (as described in section 6) you will unlock a set of unique rewards that you can enjoy and apply for, such as prize draws, competitions and exclusive content as well as the opportunity to attend exclusive events

extra rewards: from time to time, we may issue you other special awards which will appear on your wagamama soul club account

each of these additional rewards are available at our sole discretion, and more detail about each reward is available on the wagamama soul club app from time to time. separate terms and conditions apply to each additional reward which will be made available to you on the wagamama soul club app when you receive such additional rewards

rules for redeeming rewards

rewards can only be redeemed via the wagamama soul club app when dining-in at a wagamama restaurant. you cannot redeem a reward when ordering for delivery or using click + collect

each reward earned can only be redeemed once and only one reward can be redeemed per day

shareables and main dish options available for redemption as a reward may be specified by us from time to time and will be determined by us at the time you make your redemption. the rewards available to redeem may vary per restaurant and are subject to availability. we reserve the right to change the rewards from time to time

stamp and reward validity periods


you will be able to monitor the validity periods applicable to your stamps and rewards on your wagamama soul club account

stamp validity

if you do not complete an eligible transaction for a period of 12 months, any stamps you have earned will expire. when stamps expire, they will be removed from your wagamama soul club account and they will not be applied towards your next reward. if any of your stamps have already been allocated to a reward before expiry, those stamps will not expire, and the reward validity period will apply

reward validity

other than any additional rewards you may receive in which the validity period stated in the applicable terms and conditions will apply, all other rewards are valid for 12 months from the date they are applied to your wagamama soul club account. after 12 months from receipt, such rewards will be removed from your wagamama soul club account, and you will not be able to redeem them

levels


as well as the rewards you may receive as part of earning stamps (as described in sections 4 and 5 above), we also operate member "levels" to provide added benefits to our members based on how often they make an eligible transaction

each level gives you the opportunity to unlock unique level rewards that you can enjoy and apply for, such as prize draws, competitions and exclusive content, as well as the opportunity to attend exclusive events (the details of which are available from time to time in the wagamama soul club app) ("level rewards"):

level 1

members are automatically entered at level 1 on sign-up to the wagamama soul club. level 1 is for members who make up to three eligible transactions in the 12-month period from the date they sign-up to the wagamama soul club, or from the date they become or last became a level 1 member

level 2

a member will automatically become a level 2 member if they make four to seven eligible transactions in the 12-month period from the date they sign-up to the wagamama soul club, or from the date they become or last became a level 2 member

level 3

a member will automatically become a level 3 member if they make eight or more eligible transactions (or if the member "double-jumps" – see below) in the 12-month period from the date they sign-up to the wagamama soul club, or from the date they become or last became a level 3 member

all eligible transactions are counted in 12 month-periods, starting on the date the member signs up to the wagamama soul club and resetting: (i) each year on the anniversary of the member's date of sign-up to wagamama soul club, or (ii) if sooner, on the date the member enters a new level ("level periods"). in other words, a member will retain their current level for a 12-month level period, unless they make the required number of eligible transactions to enter a higher level during that level period. if the member makes the required number of eligible transactions to enter the higher level, then they will automatically enter the higher level and their level period will reset to start from the date they enter the higher level

when a new level period starts, the member's eligible transactions will reset to zero and any eligible transactions made in any previous level period will not count towards the new level period (unless the member "double-jumps", see below). The number of eligible transactions made by a member by the end of a level period will determine the level that the member enters or retains in the next level period

"double-jump"

on entering level 2, a member has the opportunity to double-jump to level 3 without having to make an additional 8 eligible transactions from the date they enter level 2. we call this a "double-jump". a double-jump will occur when a member makes 8 eligible transactions in the 12 month period from the date it first enters level 1

for example:

if you become a level 1 member on 1 June 2025, and you make your fourth eligible transaction on 5 January 2026, on making your fourth eligible transaction on 5 January 2026 you will enter level 2. your level period for level 2 will then run from 5 January 2026 until 4 January 2027 (UNLESS you make a total of 8 eligible transactions between 1 June 2025 and 31 May 2026, in which case you will enter level 3 on the day you make your eighth eligible transaction – i.e. you double-jump to level 3)

if you are a level 2 member and you make 6 eligible transactions between 1 June 2025 and 31 May 2026, in the next level period (from 1 June 2026) you will remain as a level 2 member because you made between four and seven eligible transactions during the previous level period in level 2

if you are a level 3 member and you make 2 eligible transactions between 1 June 2025 and 31 May 2026, in the next level period (from 1 June 2026) you will become a level 1 member because you made less than four eligible transactions during the previous level period in level 3

you can check your current level and when your current level period is due to reset on the wagamama soul club app

every time you enter a lower level, the level rewards obtained whilst at your previous higher level will no longer apply. however, every time you enter a higher level, the level rewards you have obtained whilst at a lower level will be retained for that higher level. for example, when moving from level 3 to level 2 you will not retain any level rewards obtained as part of reaching level 3, however when moving from level 1 to level 2 you will benefit from level rewards obtained for reaching both level 1 and level 2

stamps and other rewards (i.e. not level rewards) do not change when you enter a new level

1.1   wagamama's general terms and conditions

all usual terms and conditions for dining at wagamama or ordering via click + collect will apply to orders you make with us. Our terms and conditions for orders made via click + collect can be found here

1.2   how we use your personal data

the information collected when you create a wagamama soul club account and how such data is stored and used by us can be found in our privacy policy

1.3   value of stamps and rewards

stamps and rewards are personal to each account and cannot be transferred or sold or used in any way other than as set out in these terms and conditions. Stamps and rewards have no cash value and cannot be exchanged for cash

1.4   managing your wagamama soul club account

you can manage your wagamama soul club account on the wagamama soul club app, and you can update your personal information and change your communication preferences at any time

1.5   closure or suspension of your wagamama soul club account

you may close your wagamama soul club account at any time. If you wish to close your wagamama soul club account, you may do so by accessing your wagamama soul club account or contacting us here

we may choose to close your account if it has not been used for a period of at least 24 months. We may suspend your access to or close your wagamama soul club account in our sole discretion, in order to protect you, your personal data and us if we suspect illegal activity, fraud, misrepresentation or misconduct, or any breach of these terms and conditions

if at any time you choose to close your wagamama soul club account or your account is closed (as above), you will lose the ability to earn and/or redeem all stamps and rewards, and any stamps or rewards you have earned before closing your account will be deleted so that you will not be able to reapply them or apply them to any other account

1.6   our responsibility to you

we are not responsible for any stamps or rewards which are lost or redeemed due to fraudulent activity by you or any third party or for actions which are deemed abusive offensive, untrue, libellous or illegal or fraudulent or due to not following these terms and conditions, or if a reward is received through other activity that violates these terms

we are responsible for losses you suffer caused by us breaching these terms and conditions unless the loss is:

unexpected – for example, it was not obvious that it would happen and nothing you said to us before sign-up meant we should have expected it (so, in the law, the loss was unforeseeable)

caused by a delaying or disrupting event outside of our control (as long as we have told you as soon as possible about the delay / disruption and taken steps to reduce the impact of the delay / disruption) – for example, failure of network services or failure of data processing systems not controlled by us

avoidable – for example, a loss you could have avoided by taking reasonable action

a business loss – we only supply products for domestic and private use and so if you use the products for any commercial, business or re-sale purpose we will have no liability to you for any loss of profit, loss of business, business interruption, or loss of business opportunity

the wagamama soul club app may contain links to other independent websites which are not provided by us - such independent sites are not under our control, and we are not responsible for and have not checked and approved their content or their privacy policies (if any) and you will need to make your own independent judgement about whether to use any such independent sites, including whether to buy any products or services offered by them

if defective digital content that we have supplied damages a device or digital content belonging to you, we will either repair the damage or pay you compensation, HOWEVER, we will not be liable for damage that you could have avoided by following our advice to apply an update offered to you free of charge or for damage that was caused by you failing to correctly follow installation instructions or to have in place the minimum system requirements advised by us

you must keep your account details safe and secure and must not make them available to any other person. we cannot be held liable for any unauthorised use, and we will not refund any rewards redeemed. if you think your account security has been compromised, you must contact us immediately and notify us here

1.7   changes to these terms and conditions and the wagamama soul club app:

we may amend these terms and conditions and the wagamama soul club app without notifying you in advance for the following reasons:

to reflect changes in relevant laws and regulatory requirements

to make minor technical adjustments and improvements to the wagamama soul club app or your wagamama soul club account provided these are changes do not affect your use of wagamama soul club; and

to update digital content, provided that the digital content always matches the description of it that we provided to you before you bought it (we might ask you to install these updates)

we can also make the following types of change to these terms and conditions and the wagamama soul club app, but if we do so we will notify you in advance on at least 40 days' notice - if you don't agree with the change, you can contact us here  or close your wagamama club account on the wagamama soul club app before the change takes effect:

- changes to the eligibility of wagamama soul club

- changes to how you earn stamps and how you redeem rewards

- changes to the types of rewards

1.8   transfer of your contract with us

we may transfer the benefit of these terms and conditions to any other company in the same group of companies as us. if we assign the benefit of these terms and conditions, your rights will not be affected - you can only transfer your contractual rights with us to someone else if we expressly agree to this in advance

1.9    nobody else has any rights under this contract

this contract is between you and us. nobody else can enforce it and neither of us will need to ask anybody else to sign-off on ending or changing it

1.10    enforcement of these terms and conditions

if a court or other authority decides that some of these terms and conditions are unlawful, the rest will continue to apply. we might not immediately contact you for not doing something or for doing something you're not allowed to (i.e. enforcing these terms and conditions), but that doesn’t mean we can't do it later

1.11    resolving disputes with us

please contact us here in the first instance if you have any problems with us, the wagamama soul club app or your wagamama soul club account

you may resolve a dispute with us without going to court - alternative dispute resolution is an optional process where an independent body considers the facts of a dispute and seeks to resolve it, without you having to go to court - you can submit a complaint to the Centre for Effective Dispute Resolution through their website at https://www.cedr.com and if you're not satisfied with the outcome, you can still go to court

you can resolve disputes by going to court – these terms are governed by English law and wherever you live you can bring claims against us in the English courts – if you live in Wales or Scotland, you can also bring claims against us in the courts of the country you live in – we can claim against you in the courts of the country you live in
